A user mental model is the internal representation people form about how a system works: its concepts, relationships, expected workflows and vocabulary. For a B2B dashboard, it shapes how users expect data, actions, and navigation to be organized based on their job, goals, and prior tools.

Three research methods to uncover mental models

1. Contextual interviews

• Observe users doing real tasks in their environment (e.g., revenue analyst preparing a monthly report).
• Probe the steps they expect, terms they use, and pain points.

2. Card sorting (open & closed)

• Have users group dashboard features and label groups; reveals natural categories and terminology.
• Compare open vs. closed to test given IA taxonomies.

3. Concept mapping / think-aloud task flows

• Ask users to draw or verbalize how they’d go from goal → data → action (e.g., find anomaly → drill down → export).
• Produces relationship maps and preferred entry points.

Translating mental models into IA decisions

• Menu labels: Use user language from interviews and card labels; favor familiar terms (e.g., “Revenue Trends” vs. “Financial Analytics”) and validate with A/B copy tests.
• Grouping of features: Mirror concept maps and frequent action sequences—place drill-downs, filters, and exports together under task-based groups like “Investigate” or “Reports.”
