Description

Location - This role is hybrid with a mix of remote and in-person work at North Campus Edmonton.

Reporting to the Assistant Department Manager in the Humanities Administrative Division, and working in consultation with the Department leadership, the Program Coordinator oversees data analysis and interpretation, program planning and support, and core administrative functions within the department. The role serves as a central point of coordination among faculty, students, and administrative units, ensuring efficient operations and consistent communication across stakeholders. This position provides accurate and timely information and recommendations on academic program requirements and planning, deadlines, and university/faculty policies and procedures.

Program Coordination:

  • Assists with development, design and production of publication on programs in accordance with established Faculty/College/University policies/procedures.
  • Creates and updates various forms for program administration.
  • Provides program-specific support to Chair/Director and College in the timetabling process.
  • Provides support to the Chair/Director in developing the academic timetable, using supporting data and analysis. Identifies areas for enrolment efficiency to ensure responsible course planning.
  • Supports the College Office of Education as needed in confirming final exam information in PeopleSoft.
  • Coordinates the SPOT process.
  • With the relevant department leadership, provides administrative support to the undergraduate student awards process, if applicable.

Program Support and Advising:

  • Acts as the first point of contact for program and course specific advising. Works in collaboration with Arts Undergraduate Student Services to provide accurate and timely information to students.
  • Registers students in restricted classes which require permission of the area.
  • Supports recruitment processes like Open House.
  • Organizes meetings, conferences, seminars and special events on behalf of the area/program(s) with respect to student programming or recruitment.
  • Serves as a resource to undergraduate student associations.

Data and Reporting:

  • Creates and maintains spreadsheets or databases. Prepares standard and ad-hoc reports on program(s). Designs and develops customized reports for specific needs such as Quality Assurance reviews or teaching planning support.
  • Maintains area/program records as needed.
  • Monitors enrolment, creates statistical reports on enrolment trends, majors/minors, etc.

Governance and Operational Support:

  • Drafts and/or generates routine communications, including proofreading. Gathers information from office records to draft emails, memos, and other documents for supervisor review.
  • References the Academic Calendar and University policies and procedures to solve issues. Interprets and communicates calendar regulations.
  • Working with the Faculty of Arts Program Governance and Policy Specialist, coordinates, reviews, edits, and submits all official additions/deletions/changes to the area’s sections of the University Calendar.
  • Works with department directors, program coordinators, and department committees as appropriate.
  • Provides administrative support to Department curriculum reviews, as needed.
  • Continually identifies opportunities for process improvement, optimized administrative workflows, and data-driven analysis.
  • Provides program support as needed to other stakeholders, such as the Dean’s Office, Undergraduate Student Services, and the College of Social Sciences and Humanities.
  • 2-year diploma or equivalent required; Bachelor’s degree preferred.
  • Minimum of two years related experience, particularly in a post-secondary environment.
  • Demonstrated proficiency in PeopleSoft, Google Suite, and Microsoft applications.
  • Ability to generate, analyze, and present data. Experience using Excel, Tableau and Campus Solutions queries an asset.
  • Excellent interpersonal skills and demonstrated intercultural understanding are required.
  • Demonstrated excellence in written and verbal communication.
  • Knowledge of University of Alberta policies and procedures is preferred.
