Purpose

The Central Sales function serves as a vital link between customers, distributors, and the Flexco Africa Sales organization. This role provides essential administrative and customer service support to ensure smooth daily operations and exceptional service delivery. By managing sales orders, quotations, and customer interactions efficiently, the Central Sales team directly contributes to customer satisfaction, sales effectiveness, and Flexco’s reputation for reliability and excellence. This role reflects Flexco’s People First and Committed to Excellence values through consistent service, accuracy, and teamwork.

Education Requirements

  • High school diploma (matric).
  • Further study, qualifications, and/or experience in Office Administration, Sales Support, or Customer Service disciplines are preferred.

Experience Requirements

  • Minimum of 2 years’ experience in sales administration, customer service, or a related support role.
  • Proven proficiency in Microsoft Office (Word, Excel, Outlook) and Salesforce (or similar CRM system).
  • Experience in order processing, quotations, credit management, and invoicing.
  • Familiarity with ERP systems (e.g., LN) and an understanding of the sales workflow from order to delivery.

Physical Requirements

  • Office-based role requiring extended periods of computer work.
  • Ability to maintain concentration, accuracy, and attention to detail under pressure and within tight deadlines.
  • Flexibility to be on standby after hours from time to time, as business needs arise.

Responsibilities

Under general supervision:

  1. Sales Administration
  • Ensure adherence to relevant company policies, procedures, and service standards.
  • Process and maintain accurate records of sales orders, quotations, credits, debits, and invoices.
  • Manage and update customer accounts, including outstanding orders, credit applications, and quotation follow-ups.
  • Coordinate with logistics, finance, and warehouse teams to ensure smooth order processing and issue resolution.
  • Approve and process customer returns in a timely manner.

  1. Customer Communication
  • Respond to customer inquiries professionally and efficiently via phone, email, or other channels.
  • Provide up-to-date product information and manage communication regarding delays or changes in delivery.
  • Maintain high standards of customer satisfaction and reinforce Flexco’s customer-centered culture.

  1. Sales Reporting and Team Support
  • Assist in preparing daily, monthly, and ad hoc sales reports.
  • Support the External Sales team with administrative coordination, documentation, and information flow.
  • Participate in after-hours or emergency shifts when necessary to support time-sensitive customer needs.

  1. Continuous Improvement
  • Actively seek opportunities to improve administrative processes and service delivery.
  • Maintain current product knowledge to support customer recommendations.
  • Suggest and implement process enhancements to improve team efficiency.

  1. Team Collaboration
  • Collaborate with internal sales, external sales, operations, and management to align objectives.
  • Participate in regular team meetings, training sessions, and performance discussions.
  • Contribute to a positive and inclusive team culture

Exempt Level – Key Focus Areas

Purpose: To provide efficient and accurate administrative and customer service support that enables seamless sales operations, strengthens customer relationships, and contributes to the overall performance of the Flexco Africa Sales Department.

  1. Order Accuracy and Processing: Ensure all quotations, sales orders, and credit requests are processed correctly and on time.
  2. Customer Service Excellence: Deliver prompt, professional, and solution-oriented communication to internal and external customers.
  3. Data Management and Reporting: Maintain accurate sales data in Salesforce and LN; prepare timely daily, monthly, and ad hoc reports.
  4. Cross-Functional Coordination: Collaborate with logistics, finance, and external sales teams to resolve issues and ensure smooth order fulfillment.
  5. Continuous Improvement: Identify process gaps and contribute ideas to improve administrative efficiency and customer experience
