JOB TITLE: FIREPAC COMPLIANCE SPECIALIST AND POLITICAL ACTION OPERATIVE (Grade 6)

Position Summary:

The FIREPAC Compliance Specialist and Political Action Operative provides advanced clerical and technical support for FIREPAC operations. This position ensures the accuracy of contribution processing, data entry, and reconciliation of all PAC transactions. The Assistant supports compliance and reporting and assists with affiliate inquiries, PAC checkoff set up, documentation, and reporting materials. Monitors political issues relevant to members. Supports Director of Political Action and other staff members by assisting state and local affiliates with the development and implementation of their political action.

Responsibilities:

  • Process all FIREPAC receipts, disbursements, and related documentation.

  • Validate contribution data for accuracy and FEC/state compliance.

  • Maintain complete and organized digital and physical transaction records.

  • Assist in preparing quarterly and annual FEC and state campaign finance reports.

  • Coordinate with the external compliance firm to reconcile discrepancies.

  • Prepare internal review sheets and verify contribution logs for consistency.

  • Provide support to affiliates and members regarding contribution status, fulfillment, and accounting inquiries.

  • Identify and resolve data entry errors, payment issues, and duplicate records.

  • Provides research for FIREPAC contributions, including state PAC law and regulations contribution limits and candidate prospectus and bio.

  • Provides research for state reports and assists in compiling briefs for IAFF staff.

  • Manage FIREPAC gift uploads, tracking, and fulfillment follow-through for IAFF members.

  • Compile weekly, monthly, and quarterly PAC activity summaries.

  • Staffs Political Action Booth and works at various conferences as needed.

  • Promote FIREPAC and member registration at IAFF conferences as needed.

  • Provide administrative support including phones, correspondence, and scheduling.

  • Support issue advocacy, independent expenditure efforts, and political messaging development where appropriate.

  • Provides research and compiles reports and briefs.

  • Provide political analysis, produce briefing materials, and support redistricting and mapping projects.

  • Perform additional duties as needed to support Political Action Division operations.

Skills:

  • Strong attention to detail and accuracy.

  • Knowledge of campaign finance compliance and reporting principles.

  • A base level of knowledge of federal, state, and local campaign finance laws

  • Excellent time management and multitasking skills.

  • Strong written and verbal communication skills appropriate for professional interaction with

affiliates, leadership, and vendors.

  • Proficient in Microsoft Office, iMIS, and campaign finance software.

  • Sound operational judgment in regulated environments and ability to recommend process improvements.

  • Gift Fulfillment & Inventory Platform Experience

Qualifications:

  • High school diploma or equivalent required, bachelor’s preferred.

  • Recommended 3–5 years of experience in political or financial administrative support, preferably within a union or campaign environment.

  • Strong written and verbal communication skills appropriate for professional interaction with

affiliates, leadership, and vendors.

  • Demonstrated experience processing contributions and maintaining compliance documentation.
