Summary

This role monitors compliance, supports training programs, and partners with leadership to maintain an ethical, transparent, and compliant agency related to service provision associated with GESMV. Specifically, the responsibility is to oversee compliance of incoming and current participant referrals, general program compliance, and employee compliance pertaining to agency requirements and service delivery rules and regulations.

Essential Duties & Responsibilities

  • Manage all incoming and current participant compliance for all Developmental Disability (DD) Services programs.
  • Assist with scheduling and completing BCI, FBI, and ARCs Registry checks required by the agency and other regulator entities for current and incoming employees.
  • Administer drug screening as required for new employees and properly report results.
  • Review all pre-employment packets for incoming employees to ensure all required paperwork is collected and turned into Quality Assurance and Human Resources as listed on the pre-employment checklist.
  • Review and maintain employee compliance by working with GESMV Quality Assurance, Human Resources, and Program Services to maintain all compliance requirements related to agency requirements and any/all funding or contract requirements.
  • Provide ongoing communication to various Program Services teams regarding outstanding employee compliance, track, completion, and ensure all expiring and outstanding compliance is turned in according to program standards.
  • Access, use, store, and share Personal Protected Information (PPI) strictly on a need-to-know basis and only for authorized job-related purposes.
  • Ensure PPI is not disclosed to unauthorized individuals, including through email, verbal communication, printed materials, or electronic systems.
  • Maintain open communication with department Director and Managers regarding monthly consumer compliance reports to ensure all current and upcoming needs are addressed, completed, and/or updated prior to due dates.
  • Assist with reviewing and completing daily, weekly, and monthly billing to ensure all data is accurate. Provide feedback and communication to coordinators, managers, and director regarding any errors or concerns that need to be fixed prior to approving the billing information. Ensure the billing process is completed according to daily, weekly, and monthly deadlines.
  • Directly work with Quality Assurance, Finance, and Program Management to ensure all billing claims are approved and accepted by the State of Ohio or funder. Assist with correcting any billing errors and communicate openly with Program Management and funders regarding any issues or changes to service authorizations.
  • Assist with completing required reporting for program census, incident reporting, newsletters, and other ongoing program changes related to DD participants and service delivery compliance.
  • Ensure knowledge of all software and systems utilized for daily, weekly, and monthly data and compliance entry.
  • Assist, as assigned, with operations to ensure adherence to all requirements related to specific funding sources. Maintain records, submit weekly reports as required, and provide input to referral sources regarding individual placement and program progress as requested. Provide weekly and monthly reports to Quality Assurance. Ensure that paperwork is in compliance with GESMV guidelines and regulations. Monitor case records and report generation to ensure accurate and timely documentation.
  • Create, edit, and prepare compliance reports as requested and scheduled by the Program Services teams.
  • Stay up to date on DODD Rules and Regulations to ensure compliance; work cooperatively with Director and DD Managers to review ongoing activities and informally audit compliance. Alert the Director immediately of any issues or concerns.
  • Work cooperatively with other departments to complete the work of DD Services, i.e., Marketing, Human Resources, and Quality Assurance.
  • Provide excellent customer service to internal and external customers.
  • Stays compliant and trained in First Aid, CPR, AED, Medication Administration, and all other required yearly and monthly training courses.
  • Complete revisions to policies and procedures as required to ensure program manuals are up to date. Assist with distribution of updated manuals and ensure acknowledgement of new and revised policies by tracking completion.
  • Complies with all Agency policies, procedures, and safety standards throughout work areas and maintains same to meet CARF, HIPPA, Department of Labor, and other regulatory standards.
  • Perform other duties as assigned.

Education Requirements

  • High School diploma or equivalent required.
  • Bachelor’s degree or minimum of three (3) years’ experience in a similar position or equivalent combination of relevant education and experience preferred.

Experience Requirements

  • Ability to demonstrate excellent written and face to face communication.
  • Ability to perform functions on computer to complete financial records, case notes, and reports.
  • Previous experience working with individuals with disabilities.
  • Prior management or support role in DD Services with a significant, current understanding of Department Of Developmental Disabilities (DODD)Rules and Regulations.

  • Ability to maintain a valid driver’s license and a driving record acceptable to GESMV’s liability insurance provider.

  • Ability to pass random drug screenings.
