My duties and responsibilities will include:
• Complete required departmental reports.
• Actively drive group and event sales by identifying new business opportunities, converting leads, and contributing to the achievement of departmental revenue targets.
• Work closely with the Group & Event Sales Manager to promptly respond to incoming group and event enquiries in a timely and professional manner.
• Prepare, customize, and issue proposals, quotations, and contracts in line with brand standards to support the Group & Event Sales Manager.
• Plan, coordinate, and conduct site inspections for prospective clients, ensuring a professional presentation of the resort and its facilities to support conversion.
• Ensure the booking system, including space held, commission, and customer information, is accurately maintained and up to date.
• Manage the operational and logistical planning of all events and large bookings from the signed contract stage through to on-site execution and post-event follow-up
• Preparation of BEOs for all groups, weddings, and social events; ensuring BEOs are distributed in a timely manner and contain accurate and complete information for all relevant departments.
• Attend the weekly BEO meeting, leading and presenting assigned events, highlighting key operational details and requirements.
• Maintain regular communication with the F&B, Reservations, Front Office, and Operations teams to ensure alignment on pre-orders, guest preferences, and operational expectations for each event.
• Review and verify daily VIP arrivals and group movements to ensure accurate communication with all operational teams.
• Host pre-meetings with client's pre-event to introduce the operations team and coordinate last minute details.
• Responsible post event to close PM accounts and ensure all events are paid on time and with correct payment details and amounts as contracted.
• Proactively follow up with clients post event for feedback.
• Operate office equipment such as fax & copy machines, phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
• Complete forms in accordance with company procedures.
• Assist in the review of work methods and procedures in the department.
• Be completely familiar with all the resort inventory including special advantages, amenities and special features of each room as well as all guest and public facilities.
• File all correspondence relating to group and events.
• Maintain a high standard of personal appearance, grooming and hygiene.
• Knowledge of all safety, security and emergency procedures related to my position in line with brand and statutory requirements.
• Ensure the privacy of guests, partners and residential owners, I will apply an extra level of protection to any sensitive personal data and use confidential information only to perform my job.
• Ensure all equipment of the department is kept clean and in good working condition.
• Upsell all resort facilities and activities.
• Attend meetings and training as required.
• Knowledge and strict adherence to LQA standards.
• Perform any additional tasks given to me by supervisor/management.
