A. Responsibility as Technical Project Lead

1. Technical Oversight & Coordination

  • Review and validate all design drawings (architectural, MEP, IT)
  • Ensure alignment with building specs, landlord requirements, and codes
  • Coordinate between consultants, contractors, and internal stakeholders
  • Input into employer requirements for consultants and suppliers, outlining the importance of designing for operation and a whole life approach to building design
  • Outline data requirements to support transition to operational systems (CMMS, CAFM, BMS integration)

2. Design Review with Operational Focus

  • Ensure layouts are practical for daily operations & maintenance
  • Work with project team during design meetings to incorporate operational considerations
  • Check:
    • Access to equipment (AHU, FCU, DB boards)
    • Ceiling access panels
    • Proper zoning of HVAC

3. MEP Systems Management (Oversee installation and performance of)

  • HVAC (cooling load, airflow balance)
  • Electrical systems (load, redundancy, UPS)
  • Plumbing & drainage
  • Fire protection systems

4. Project Timeline & Risk Management

  • Monitor site progress vs milestones
  • Identify technical risks early (e.g., power capacity, cooling issues)
  • Ensure timely resolution of site issues

5. Testing, Commissioning & Handover

  • Lead Testing & Commissioning (T&C)
  • Lead snagging / defect rectification
  • Verify as-built drawings, O&M manuals, and warranties

6. Transition to Operations

  • Ensure smooth move-in readiness
  • Set up maintenance plans and FM systems (CMMS, CAFM, BMS integration)
  • Oversee mobilization of FM services for operational readiness

B. Responsibilities as IFM Lead

  • Manage performance of the outsourced IFM provider, including KPI monitoring, cost efficiency, and service metrics reviews
  • Ensure all IFM contract deliverables and documentation are provided and stored appropriately (monthly scorecards, reports, etc.)
  • Build strong relationships with IFM provider and ensure service compliance; escalate issues when needed
  • Build effective relationships with landlord to ensure alignment with operational needs
  • Coordinate implementation and approval of contractual changes
  • Support regional/global CIRE/FM in contract management activities (QBRs, annual reviews, vendor selection, negotiations, etc.)
  • Direct IFM provider to prioritize and coordinate all maintenance (planned and reactive) to minimize disruption
  • Develop and execute facility management strategies aligned to organizational goals
  • Analyze facility data to optimize efficiency and support decision-making
  • Provide regular operational and financial performance reports to management
  • Conduct audits on IFM services and subcontractors to ensure compliance and identify improvements
  • Maintain knowledge of maintenance practices and legislation for asset longevity
  • Ensure compliance with regulations, Roche policies, and sustainability requirements
  • Ensure IFM team compliance with safety induction and mandatory training
  • Lead initiatives to improve productivity, employee well-being, and service delivery
  • Manage space planning and utilization aligned with business growth and needs
  • Create facility-related content such as SOPs, policies, and presentations
  • Ensure alignment with global workplace design standards and project delivery processes
  • Lead special projects (site acquisition, lease negotiation, business continuity, incident response, etc.)
  • Manage budgets (OPEX/CAPEX), financial reporting, and cost-saving initiatives
  • Act as interface between local stakeholders and regional/global teams for governance and communication
  • Contribute to IFM community through best practice sharing and participation in regional forums
