Job Overview
To pro-actively provide operational & systems support to the DTSA and its Network Partners in order to maximise administrative efficiencies and customer satisfaction in compliance to the Company's Integrity, Anti Bribery Codes, Conflict of Interest Policy, Safety, Health, Environment, Risk and Quality requirements and to perform delegated SHERQ tasks and duties & to inform superior about deviations.
Key Duties and Responsibilities:
Dealer Communication
- Prepare and distribute all Dealer & General Distributor Letters, Dealer Network Company Notices, and Franchise Letters.
- Maintain a complete register of all outgoing and incoming dealer communications.
- Ensure accuracy, consistency, and timely delivery of all communications .
Dealer Network Legal Contracts
- Maintain a comprehensive database of all agreements, including but not limited to DTAG, Dealer, GD, ASP, and TruckStore contracts.
- Ensure electronic and hard‑copy files are well-organized, controlled, and easily accessible.
- Provide the Legal & Compliance team with required information for contract updates.
- Supply Lines of Business (LOB), Dealers, and General Distributors (GDs) with contract copies upon request.
Administration of Databases
- Maintain accurate and up‑to‑date information in the GSSN database system.
- Continuously monitor data accuracy and flag discrepancies for correction.
- Maintain the Dealer Blueprint as well as Dealer and GD profiles.
- Process and implement updates promptly upon receiving changes from Dealers and General Distributors.
Meeting Administration
- Coordinate meetings including Network SteerCo, Dealer Performance Review Meetings, Network Divisional Meetings, Network Strategy, NDF, Dealer & GD 1‑on‑1 Meetings, and staff engagements.
- Manage meeting logistics: scheduling, room preparation, visitor registration, catering, and setup.
- Prepare agendas, presentations, meeting packs, and supporting documentation.
- Take minutes, track attendance, and follow up on all assigned action items.
- Communicate invitations, confirmations, and roadmaps within agreed timelines.
- Communication to NDF.
Purchase Order Creation and Tracking
- Engage suppliers for quotes and create purchase orders on SAP for approval.
- Track open purchase orders weekly and follow up on outstanding invoices.
- Submit invoices and statements to Accounts for processing.
- Support onboarding and registration of new suppliers.
Fleet Workshop Accreditation
- Administer new fleet workshop accreditation applications and re‑accreditation processes.
- Ensure all required documentation is submitted accurately and within deadlines.
- Coordinate approval and sign‑off with Brand Service Manager.
- Maintain the Accreditations Database and ensure all records are updated.
- Confirm with DTSA Accounts that fleetowner's diagnostic accounts are up to date before re-accreditation.
Ad Hoc
- Support the Dealer Network Manager with various Network Development projects, including but not limited to: Maintain the implementation tracker for all open Dealer Network items.
- Coach and train Dealer Network YES students.
- Matric/Grade 12 plus a relevant Diploma, BCom, or equivalent qualification in Business Management or Administration.
Experience:
- At least 3 years’ relevant experience in Sales, Marketing, and administrative functions, with Automotive Industry experience considered an added advantage.
Special Knowledge:
- Computer Literacy (MS Office, Word, Excel and PowerPoint).
- Meeting and Diary Management.
- Communication & Interpersonal Skills.
- Planning & Coordination.
Office Administration.
