Description


Position Summary: The Human Resources Associate role coordinates substitute coverage, supports substitute onboarding requirements, works with divisional Office Coordinators to arrange placements, and maintains related records. The position also supports employee onboarding and daily HR operations, and maintains accurate employee records and updates in HR systems such as Odoo. Success in this role requires strong organization, attention to detail, collaboration, and clear communication.


Primary Responsibilities:


Substitute Coordination


  • Coordinate daily substitute coverage by communicating with substitutes regarding sub jobs, assignments


  • Track substitute coverage requirements and coordinate placement with divisional Office Coordinators.


  • Maintain accurate records of substitute availability on a weekly, monthly, and school year basis.


  • Provide administrative support to help ensure continuity of daily operational needs


  • Assist with substitute teacher onboarding by tracking documents and communicating required steps


Onboarding Assistance & Employee Support


  • Assist with onboarding for new employees, ensuring timely completion of documentation.


  • Provide day-to-day support and guidance to new hires as they complete onboarding requirements.


  • Draft clear and professional communications, including onboarding support and follow-ups.


  • Coordinate with IT to facilitate ID photo collection of new employees.


  • Liaise with the School Doctor regarding new employee medical documentation.


Documentation Tracking & Compliance Support


  • Review, verify, and track new employee onboarding documents in compliance with UAE regulations and ASD requirements.


  • Track employee visa, Emirates ID, passport, and other compliance-related documentation, ensuring timely updates in Odoo.


  • Monitor outstanding requirements and proactively follow up to meet deadlines.


HR Operations & Stakeholder Coordination


  • Liaise with departmental and divisional teams, as needed, to support onboarding workflows.


  • Assist with the administration of HR systems and platforms (onboarding portals, shared drives, Odoo/Self Service), including troubleshooting access issues.

Required Qualifications:


  • A minimum of two years, current, full-time related experience.


  • Experience and proficiency in Google Workspace, including Gmail, Drive, Docs, Sheets, and Meet.


  • Bachelor's degree in a relevant course of study.


  • Excellent written and verbal English language skills.

Terms of Employment:


General working hours are from 7:45 am - 3:45 pm, Monday through Thursday and 7:45 am - 12:15 pm (on site) & 2:30 pm - 3:45 pm (remote/flexible) on Fridays. To meet the needs of the role this position requires flexibility to support outside of school hours and on weekends.


Friday is considered as a full working day for employees and the school reserves the right to schedule afternoon meetings and/or events where the employee’s presence is required. Employees should plan to be available and ready to respond to work-related requests on Friday afternoons unless an approved leave of absence has been applied for and approved through the usual and customary leave request process in advance. Any absence on a Friday will be considered a full-day absence.
