Job Description Objective: The Evaluation Support Specialist III is responsible for the administration and oversight of course and faculty evaluations across the School of Veterinary Medicine, School of Graduate Studies, and School of Arts and Sciences. The role ensures that all core courses in major programs, as well as all faculty teaching assignments, are evaluated consistently and in accordance with university policies and templates. The Evaluation Support Specialist III serves as the primary point of contact for course and faculty evaluation processes, manages the scheduling and distribution of evaluations, and ensures appropriate release of results to course directors and school leadership. Essential Functions: Course and Faculty Evaluation Administration Administer and oversee course and faculty evaluations for all core courses in major programs within SVM, SGS, and SAS. Ensure all faculty members engaged in teaching are evaluated each term, using standardized university templates. Maintain accurate and up-to-date records of courses offered and faculty teaching assignments. Coordinate with course directors and program leadership to ensure evaluation coverage and compliance. Evaluation Process Management Schedule evaluation periods in alignment with academic calendars and course timelines. Administer evaluation tools (e.g., CourseEval or equivalent system) and troubleshoot as needed. Monitor completion rates, follow up with students and faculty as appropriate, and ensure evaluations are finalized on schedule. Generate, manage, and maintain evaluation reports securely and confidentially. Reporting and Results Distribution Release evaluation results to course directors, deans, and other school leadership in a timely and appropriate manner. Provide summaries, trends, and comparative data as needed to support program review and decision-making. Support institutional reporting and accreditation requirements by ensuring evaluation data are collected and archived. Provide institution level comparability reports and longitudinal reports as required by the Deans or Provosts Office. Liaison and Support Serve as the primary point of contact for evaluation-related questions and support for faculty, staff, and students. Provide training, guidance, and assistance to faculty and administrators on evaluation processes. Collaborate with the Provost’s Office and academic units to refine and improve evaluation systems. Essential Knowledge, Skills and Abilities: High level of organizational efficiency and attention to detail. Proficiency in managing and reporting evaluation data. Ability to maintain confidentiality and professional discretion. Strong problem-solving and troubleshooting skills with evaluation systems. Commitment to consistency, fairness, and adherence to institutional policy. Strong organizational and data management skills with attention to accuracy. Excellent communication and interpersonal skills. Ability to manage multiple tasks, meet deadlines, and work collaboratively with diverse stakeholders. Qualifications: Bachelor’s degree in education, higher education administration, or related field (master’s degree preferred). Experience in administering course and/or faculty evaluations in higher education. Familiarity with evaluation software platforms (e.g., CourseEval, Blue, or similar). Work Environment/Physical Demands: This job is performed at a workstation in a positive, creative and collaborative environment with occasional noise or interruption. Collaborations may be in-person or online via meeting platforms such as Teams or Zoom. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets. Hours and Travel: A typical work week is 40 hours Monday through Friday 8am/9am – 4pm/5pm Occasional evening or weekend work may be required. Some flexibility in hours is allowed, but the employee must be available during the core work hours. No travel is expected for this position.
