Role Overview

We are seeking a proactive, organized, and detail oriented Operations Executive to support vessel operations, client coordination, PDA preparation, port attendance, system updates, transport and hotel coordination, and invoice handling within the logistics industry.

The selected candidate will be responsible for monitoring operational emails, responding to foreign and local clients, coordinating with vessels, preparing PDA documents, attending port operations for crew sign on and sign off, and supporting vessel handling activities in Galle and Hambantota. This role requires strong coordination skills, accuracy, communication ability, and the capacity to work in a fast paced logistics and port operations environment.

Key Responsibilities

Client and Vessel Communication

• Monitor operational emails and respond to foreign and local clients in a timely and professional manner.
• Coordinate with vessels regarding operational requirements, updates, and follow up matters.
  
• Maintain clear communication with clients, vessel representatives, and internal teams.
• Ensure all client requests and vessel related inquiries are handled accurately and efficiently.

PDA Preparation and System Updates

• Prepare PDA documents accurately according to operational requirements.
• Update internal systems with vessel, client, port, and operational information.
  
• Maintain proper records of PDA submissions, vessel updates, and related documentation.
• Ensure all system entries are completed on time with accurate information.
  

Port Operations and Crew Coordination

• Attend port when required for crew sign on, crew sign off, and other vessel related operations.
• Support vessel handling activities in Galle and Hambantota.
  
• Coordinate with port authorities, agents, service providers, and 
• internal teams to ensure smooth operations.
• Follow up on operational requirements to avoid delays in vessel and crew related activities.

Transport and Hotel Coordination

• Coordinate with the Colombo office for transport and hotel arrangements.
• Ensure crew transport, accommodation, and related logistics are arranged accurately and on time.
  
• Follow up with relevant teams and service providers to confirm arrangements.
• Support smooth crew movement and operational coordination.

Invoice Checking and Documentation

• Check and verify invoices related to vessel operations, transport, 
• hotel arrangements, and other services.
• Pass verified invoices along with final PDA documents to the DA Department.
• Maintain accurate records of invoices, PDA documents, and operational files.
  
• Ensure documentation is complete, organized, and available for reference when required.

Candidate Profile

• Previous experience in logistics, shipping, port operations, vessel 
• handling, marine services, or operations coordination will be an added advantage.
• Knowledge of PDA preparation, vessel operations, crew sign on and sign off processes, or port documentation will be preferred.
• Good communication skills in English.
  
• Ability to coordinate with foreign and local clients, vessels, port authorities, and internal teams.
• Strong attention to detail and documentation accuracy.
  
• Good computer literacy and ability to update systems accurately.
• Ability to work under pressure and manage time sensitive operational tasks.
  
• Willingness to attend ports and support vessel operations when required.
• Strong follow up, coordination, and problem solving skills.
  
• Professional, reliable, and able to work independently as well as within a team.
