Description

PLA Design Studio is seeking a meticulous and detail-oriented Data Processing Clerk to join our administrative team. In this role, you will be responsible for processing, organizing, and maintaining various data related to architectural projects, client records, and internal processes. The ideal candidate will be highly organized, efficient, and capable of handling sensitive information with discretion.

Key Responsibilities:

Data Entry & Processing: Accurately input and update data in internal systems and databases, including project files, client details, and financial records.

Document Management: Organize, sort, and manage digital and physical files, ensuring that all records are properly filed and easy to access.

Data Verification: Review and validate data for completeness, accuracy, and consistency across various platforms and databases.

Reporting: Assist in generating data reports, project summaries, and financial reports as requested by senior staff and project managers.

Support for Project Teams: Provide administrative support to the design and project management teams by ensuring that relevant data is up-to-date and accessible.

Data Maintenance: Periodically review data files to ensure compliance with company standards and accuracy.

Client & Vendor Records: Maintain and update client and vendor contact information, project timelines, and invoicing details.

Collaboration: Work closely with other departments to ensure seamless communication and data flow between teams.

Process Improvement: Identify areas for improving data processing and document management processes to enhance efficiency and accuracy.

Qualifications:

Education: High school diploma or equivalent required. An associate degree or certifications in office administration or data management is a plus.

Experience: Previous experience in data entry, administrative support, or document management preferred.

Skills:

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Experience with database management or data processing software is a plus.

Strong attention to detail and ability to spot errors.

Excellent organizational and time-management skills.

Strong verbal and written communication skills.

Ability to work independently and manage multiple tasks in a fast-paced environment.

Knowledge of architectural terms and processes is beneficial but not required.
