Summary:






The Kampgrounds of America (KOA) Project Manager (PM) is responsible for leading cross-functional project teams in delivering key corporate initiatives that align with strategic business goals such as growing campground registration revenue and improving internal systems and employee engagement. The PM oversees all aspects of a project’s lifecycle using project management tools such as ClickUp and ensures timely delivery, stakeholder satisfaction, and quality outcomes. Position is located in Billings, Montana at the KOA, Inc. Corporate office.

Essential Duties and Responsibilities:






Project Planning & Execution

  • Develop detailed project charters, schedules, and milestone-based plans using KOA’s project management software, aligned with strategic categories (e.g., revenue, system improvement, process improvement).
  • Facilitate project initiation through intake processes, scope definition, and stakeholder alignment.
  • Define deliverables and success metrics based on corporate initiative frameworks.

Team & Task Management

  • Assemble and lead project teams including business analysts, QA, developers, SMEs, and department stakeholders.
  • Assign and track project tasks using KOA’s project management tools with clear status tracking.
  • Ensure task priority, dependencies, and durations are monitored and adjusted as needed.

Resource & Risk Management

  • Monitor resource utilization using PMO Dashboards to identify allocation needs.
  • Maintain the Risk Register with probability scoring, mitigation plans, and impact assessments.
  • Actively manage potential risks and project blockers before they impact milestones.

Stakeholder Communication & Reporting

  • Maintain an up-to-date Stakeholder Registry to ensure consistent and targeted communication.
  • Collaboratively work with stakeholders to establish and communicate priorities and manage resource assignments.
  • Provide transparent updates through Gantt views, PMO dashboards, weekly meeting minutes and monthly project status reports to the corporate project committee.
  • Drive decision-making via a managed Decision Log in KOA’s project management tool, identifying details of decisions made, decision owners, approvers, and due dates.

Documentation & Quality

  • Oversee complete project documentation including Business Case, Charter, Business Requirements, Technical Requirements, and Visio diagrams.
  • Ensure version control, approval workflows, and secure storage of deliverable.
  • Capture lessons learned throughout the project lifecycle and incorporate lessons into future projects.

Budgeting & Compliance

  • Manage project budgets, cost tracking, and procurement processes.
  • Ensure compliance with internal policies, project governance, data governance, and industry standards.

Project Closure & Evaluation

  • Lead post-project evaluations to gather insights, document outcomes, and update standard operating procedures.
  • Provide executive summaries and ensure completion of all knowledge transfer activities.

Required Education and Experience:

  • Bachelor’s degree in business, project management, information management, IT, or related field or 3+ years of experience in project management, preferably in a corporate or hospitality setting.
  • Strong knowledge of project management tools.
  • Familiarity with project management and process improvement methodologies.
  • Experience leading cross-departmental projects and resource alignment.
  • Strong communication skills in working with project teams that are encouraging, discerning and firm when appropriate to meet project commitments.

Preferred Education and Experience:

  • PMP Certification or equivalent
  • Corporate PMO environment
  • Hospitality operations or systems projects
  • Remote and hybrid workforce coordination
  • Budget management for large-scale initiatives
  • Strategic thinking by aligning project execution with broader business initiatives.
  • Lead by inspiring collaboration, accountability, and high performance.
  • Creative problem-solving skills to orchestrate task dependencies and completion when encountering unexpected events.
  • Manage risk and project changes by anticipating issues and adapting project plans accordingly.
  • Deliver communication through clear, concise, and audience-tailored messages.
  • Technical fluency with project tools, dashboards, Gantt charts, and data visualization.
  • Manage stakeholders by building trust with executives, sponsors, and delivery teams.

Physical Demands and Working Conditions:

  • Work is performed in an office environment and requires the ability to operate standard office equipment and keyboard, including lifting and carrying a laptop and other small items up to 20 pounds.
  • Prolonged exposure to computer screen and artificial lighting.
  • Use of repetitive motion, standing, bending, sitting, lifting, and walking short distances.
  • May be expected to drive a vehicle to KOA locations, other locations as directed, and conferences which requires close and distance vision, sitting, seeing and reading signs, traffic signals, other vehicles, etc. Travel occurs in all weather conditions, including extreme heat and cold.
  • Frequent in person interaction with KOA employees in various settings, where noise level is typically low to moderate, including office spaces.
  • Will experience interruptions and shifting priorities.
