I. MAJOR FUNCTIONS:

Under the strategic direction of the Chapter Executive Director, the Operations and Program Coordinator oversees and supports the daily operations, programmatic initiatives, and administrative functions of the Chapter. The Operations and Program Coordinator works closely with the Chapter Executive Director, other staff, and volunteer executive leadership to ensure the smooth execution of office systems, and financial reporting. This position helps coordinate logistics for meetings and events, maintains compliance with continuing education and licensing requirements, assists with membership outreach and reporting, and supports initiatives across the organization.

II. BASIC DUTIES & RESPONSIBILITIES:

Office Operations & Administration

  • Plans, coordinates, and directs office activities and/or special projects
  • Analyzes and makes recommendations regarding operating practices, policies, and procedures to ensure smooth and efficient office operation
  • Manage and order office supplies as needed, including orders for print jobs for conferences, LEAD, and social work month events.
  • Manage correspondence with members and future members through phone, email, and social media.
  • Assist Executive Director with special assignments, including sending/receiving correspondence and maintaining RSVP calendars for meetings and gatherings
  • Provide logistical support for board and committee meetings, including announcements, RSVPs, lodging, meals, and room setup

Program & Committee Support

  • Provide administrative support to Student Ambassador program, LEAD Committee, and Licensing Committee, and any other assigned committees
  • Provide support for membership initiatives including, compiling monthly membership list to unit chairs, monthly membership recognition, and monthly membership spotlights.
  • Support the Chapter’s strategic planning process and final documentation; track implementation progress
  • Assist the Communication Director with unit Event Planning Forms and documentation on social media.

Continuing Education (CE) and Licensing Support

  • Assist members with licensing questions
  • Provide regular updates on licensing changes and guidelines via website, email, and social media
  • Coordinate communication with the Department of Health and the Executive Director regarding urgent licensing issues
  • Process CE provider applications and CE documentation from CE Chapter and unit events.
  • Maintain CE files as required by state law
  • Perform data entry for CE and licensing course registrants
  • Prepare reports, certificates, and participant lists
  • Tabulate evaluations and conduct follow-up as needed

Financial and Reporting Support

  • Collaborate with the Executive Director on management of PN3
  • Prepare and submit payables and receivables documentation for payment and reconciliation
  • Complete all National NASW reports in coordination with the Executive Director

III. THE IDEAL CANDIDATE SHOULD POSSESS:

  • Exceptional organizational skills to manage multiple priorities, deadlines, and ongoing administrative tasks
  • Strong written and verbal communication to handle correspondence, prepare reports, and liaise with members and stakeholders
  • Attention to detail for accurate data entry, CE documentation, and financial reporting
  • Professional and courteous customer service when assisting members via phone, email, and social media
  • Ability to communicate licensing and CE information clearly and accurately
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Comfort with online platforms for CE tracking, event registration, and virtual meeting logistics (e.g., Zoom, SurveyMonkey, Google Forms)
  • Basic knowledge of social media tools (PDF and Canva)
  • Familiarity with licensing procedures and state CEU laws (Florida-specific knowledge is preferred)
  • Comfort with databases and data entry
  • Experience supporting event planning and committees.
  • Adaptability and flexibility in a fast-paced, nonprofit environment
  • Initiative and self-direction to manage tasks within remote supervision
  • Confidentiality and professionalism, particularly in handling member records and financial information
  • Commitment to the mission and values of NASW and the social work profession
  • Bachelor’s degree required; preferred fields include social work, public administration, nonprofit management, or a related discipline.
  • Minimum of 2 years of experience.
