Job Summary: The Fuel Tax Clerk is responsible for managing all aspects of tax-related issues, including research and compliance for all federal and state income tax returns, fuel, fuel tax audits, tax credits, and working with local, state and federal taxing authorities.
Essential Job Functions:
Prepare and review fuel tax for multi-state tax returns
Proactively manage and maintain tax compliance deadlines
Communicate with accounting/finance team regularly for any fuel tax related issues
Assist in any fuel tax audits, where applicable; and the yearly financial audit in regards to fuel tax
Heavy use tax filing (2290 Form)
Scanning and indexing paper received fuel tax receipts, trip sheets and accounts payable documents
Assign toll passes to power units and audit reports to troubleshoot issues and process or dispute charges
Prepare and review licensing and permitting in multiple states for trailers, service trucks, power units, and other equipment.
Ensure each unit receives the proper paperwork and license plates
Ensure equipment receives current insurance documentation
Prepare unit information for submission to fuel tax and property tax payments
Consult with supervisor on fiscal administration and budget procedures
Reconciles department reports
Prepare periodic financial statements and reports for internal use
Assistance in special projects as needed
Performs other related duties as assigned
Qualifications:
Required:
High School Diploma or equivalent
Must be able to pass a pre-employment drug test and submit to the company random drug and alcohol program
Proficiency in basic computer skills including Microsoft Office applications specifically Excel, Google Workspace, and 10 key
Detail oriented and organized with strong analytical skills
Self-motivated with the ability to prioritize multiple tasks in a deadline-driven environment
Ability to answer phones and greet the public in a courteous manner
Ability to speak in a clear and understandable manner and write legibly
Ability to learn new procedures quickly and efficiently
Excellent written and verbal communication skills
Preferred:
Entry level knowledge of the trucking/transportation industry
Firm understanding of fuel tax accounting
Knowledge of IFTA rules and regulations

Work Environment: The duties of this job are performed primarily in an office environment and occasionally, in a commercial motor vehicle terminal operations environment thereby experiencing some minor to moderate level of noise due to office/CMV equipment. Exposure to various climate conditions, fumes, dust, odors, oil/grease, and gasses.
